Track coupon points with Google Sheets, Drive Storage, and Gmail weekly summary
Simple Coupon Points Tracker with Google Sheets and Weekly Summary Email
Take full control of your expected loyalty points. This workflow helps you log every coupon and the points you should receive, store proof of purchase, and get a weekly summary so you can quickly spot any points that haven’t been credited and follow up with the program if needed.
Who’s it for
Ideal for frequent coupon users or anyone collecting loyalty points from programs like Payback, Miles & More, or similar reward systems. If you want a centralized, reliable way to track expected points, organize screenshots, and make sure nothing goes missing, this workflow is built for you.
How it works
Log coupon details and screenshots: Submit your coupon info via an n8n form. Screenshots are automatically saved in a Google Drive folder, and coupon data is appended to a Google Sheet. Weekly points summary: Every week, a scheduled trigger scans your sheet for coupons that are due to have points credited. It generates a clear summary email via Gmail so you can easily see which points are expected and follow up if the program hasn’t credited them.
How to set up
- Google credentials: Configure OAuth2 credentials in n8n for Google Drive, Sheets, and Gmail.
- Google Drive: Create a folder for storing screenshots and link it in the workflow.
- Google Sheets: Create a sheet with these columns, or use the Google Sheets Template and then set the sheet ID and name in the workflow nodes.
Coupon Name | Account Used to Buy | Program | Points | Bonus Points | Purchase Date | Redeem Delay (days) | Claimable Date | Coupon Screen
- Email node: Configure Gmail credentials and recipient address for weekly summaries.
- Form trigger: Open the form URL to submit coupon data from any device.
- Schedule trigger: Runs weekly to send the summary; timing can be adjusted.
Requirements
- n8n instance with Google OAuth2 credentials for Drive, Sheets, and Gmail
- Google Drive folder ID for screenshots
- Google Sheets ID and sheet name for logging points
- Gmail account for sending summary emails
Stay on top of your expected points, ensure no reward slips through the cracks, and keep proof safely stored automatically. Happy tracking!
n8n Workflow: Track Coupon Points with Google Sheets, Drive Storage, and Gmail Weekly Summary
This n8n workflow automates the process of tracking coupon points submitted via a form, storing the data in Google Sheets, backing up the form submission as a PDF in Google Drive, and sending a weekly summary email.
It simplifies coupon point management by providing a structured way to collect data, ensure data integrity, and keep stakeholders informed with regular reports.
What it does:
- Triggers on Form Submission: The workflow starts whenever a new coupon point submission is received via an n8n form.
- Extracts and Formats Data: It processes the submitted form data, extracting relevant fields like
couponName, points, customerName, customerEmail, andsubmissionDate, and formats them for consistency. - Appends Data to Google Sheet: The extracted coupon point data is then added as a new row to a specified Google Sheet, serving as the central database for all submissions.
- Generates PDF Summary: A PDF document is created from the form submission data, providing a human-readable summary of the recorded coupon points.
- Uploads PDF to Google Drive: This generated PDF is then uploaded to a designated folder in Google Drive for secure storage and easy access to individual submission records.
- Schedules Weekly Summary: Every Monday at 9:00 AM, the workflow is scheduled to run a separate branch for generating a weekly report.
- Retrieves All Data from Google Sheet: For the weekly summary, it fetches all recorded coupon point data from the Google Sheet.
- Calculates Total Points per Customer: It processes the retrieved data to calculate the total points accumulated by each customer.
- Generates Weekly Summary Email: An email is composed containing the weekly summary of coupon points, including a list of customers and their total points.
- Sends Weekly Summary via Gmail: The generated summary email is sent to a specified recipient (e.g., the marketing team or business owner) using Gmail.
Prerequisites/Requirements:
- n8n Instance: A running n8n instance.
- Google Sheets Account: A Google account with access to Google Sheets.
- Google Drive Account: A Google account with access to Google Drive.
- Gmail Account: A Google account with access to Gmail.
- Google OAuth2 Credentials: Configured Google OAuth2 credentials in n8n to connect to Google Sheets, Google Drive, and Gmail.
- n8n Form: An n8n Form Trigger configured with the necessary fields for coupon submissions (e.g.,
couponName, points, customerName, customerEmail). - Google Sheet: A Google Sheet set up with appropriate headers (e.g.,
Coupon Name,Points,Customer Name,Customer Email,Submission Date) to store the coupon data. - Google Drive Folder: A Google Drive folder where the PDF summaries will be stored.
Setup/Usage:
- Import the Workflow: Import the provided JSON into your n8n instance.
- Configure Credentials:
- Set up your Google OAuth2 credentials in n8n. Ensure these credentials have access to Google Sheets, Google Drive, and Gmail.
- Configure "On form submission" (Node ID: 1225):
- Activate the n8n Form Trigger. You will get a webhook URL to submit your form data.
- Ensure the form fields match the expected input for the workflow (e.g.,
couponName,points,customerName,customerEmail).
- Configure "Google Sheets" (Node ID: 18):
- Select your Google Sheets credential.
- Specify the Spreadsheet ID and Sheet Name where coupon data will be appended.
- Map the input data from the "Edit Fields" node to the correct columns in your sheet.
- Configure "Google Drive" (Node ID: 58):
- Select your Google Drive credential.
- Specify the Folder ID where the PDF summaries will be uploaded.
- Ensure the "File Name" expression generates unique and descriptive names for the PDFs.
- Configure "Schedule Trigger" (Node ID: 839):
- This node is pre-configured to run every Monday at 9:00 AM. Adjust the schedule as needed.
- Configure "Gmail" (Node ID: 356):
- Select your Gmail credential.
- Set the Recipient Email Address for the weekly summary.
- Customize the Subject and Body of the email to include the aggregated coupon point data from the "Code" node.
- Activate the Workflow: Once all configurations are complete, activate the workflow.
Now, every time your n8n form is submitted, the coupon data will be recorded, a PDF backup will be saved, and a weekly summary will be sent out automatically.
