Deploy a Multi-Tool AI Assistant on WhatsApp with Google Gemini

Deploy a true AI assistant on WhatsApp. This n8n workflow uses a sophisticated hierarchical agent structure to not only handle conversations but also manage your emails and calendar directly from your chat, all powered by Google Gemini.

Key Features

  • Powered by Google Gemini: Utilizes the advanced capabilities of Google's Gemini models for understanding complex commands and generating natural, human-like responses.
  • Intelligent Task Delegation (Hierarchical Agents): Features a central Personal Agent that understands the user's intent and intelligently delegates tasks to specialized sub-agents for email, calendar, or general chat.
  • Full Email & Calendar Management: Connects directly to your Google Workspace to send emails, create drafts, apply labels, create/update/delete calendar events, check your availability, and more.
  • Context-Aware Conversations: Employs memory at multiple levels, allowing the assistant to remember the context of your requests for a coherent and intuitive user experience.
  • Seamless WhatsApp Integration: Connects directly with the WhatsApp Business API to send and receive messages, engaging users on one of the world's most popular messaging platforms.
  • Easy to Deploy & Customize: Get your assistant running with minimal configuration and easily extend its capabilities by adding new tools or modifying the prompts of the existing agents.

How It Works

The workflow uses an advanced agent-based model to process incoming messages:

  1. The Whatsapp Trigger node listens for and receives new messages sent to your WhatsApp Business number.
  2. The message is passed to the main Manager Agent.
  3. The Personal Agent analyzes the message to understand the user's intent (e.g., "send an email," "check my schedule," or just "hello").
  4. Based on the intent, it routes the task to the appropriate sub-agent: the Email Tool, the Calendar Tool, or the general Chatbot Model.
  5. The selected sub-agent executes the task using its own dedicated tools (e.g., the Email Tool uses Gmail nodes to send a message).
  6. The result or response from the sub-agent is passed back to the Send message (WhatsApp) node, which delivers the reply to the user.

Prerequisites

  • An active n8n instance.
  • A Meta Business Account and a configured Meta App with the "WhatsApp Business" product added.
  • A Google Gemini API Key.
  • A Google Account with pre-configured OAuth2 credentials in n8n for Gmail and Google Calendar.

Step-by-Step Setup Guide

1. Configure WhatsApp Credentials:

  • In your n8n instance, add new "WhatsApp Business" credentials.
  • You will need a Permanent Access Token and a Phone Number ID from your Meta App's "WhatsApp > API Setup" dashboard.

2. Set Up the WhatsApp Trigger:

  • Open the Whatsapp Trigger node. In the "Webhook URL" section, copy the Test URL.
  • Go to your Meta App's dashboard under "WhatsApp > Configuration".
  • Click "Edit" in the Webhooks section.
  • Paste the n8n Test URL into the Callback URL field.
  • Create and enter a Verify token (a simple password of your choice). Enter this same token in the Whatsapp Trigger node in n8n.
  • Subscribe to the messages webhook event.
  • Once verified, copy the Production URL from n8n and paste it into the same Callback URL field in the Meta dashboard.

3. Configure the Google Gemini Nodes:

  • You must add your Google Gemini API Key to the credentials for all the Google Gemini Chat Model nodes. This includes the one in the Chatbot Model, Email Tool, and Calendar Tool.

4. Configure the Google Tools (Email & Calendar):

  • Email Tool: Open the group of nodes labeled Email Tool. For every Gmail node (Send Email, Create Draft, Get Labels, etc.), select your pre-configured Google OAuth2 credential.

5. Activate and Test:

  • Save and activate the workflow.
  • Send a message to your configured WhatsApp Business number.

Deploy a Google Gemini AI Assistant on WhatsApp with Email & Calendar Tools

This n8n workflow enables you to deploy a sophisticated AI assistant on WhatsApp, powered by Google Gemini. The assistant is designed to be conversational and can leverage various tools to interact with users, remember past conversations, and potentially integrate with external services like email and calendar (though specific tool integrations are not fully defined in this JSON).

What it does

This workflow sets up a foundational AI assistant that:

  1. Listens for WhatsApp Messages: It acts as a trigger, starting the workflow whenever a new message is received on a configured WhatsApp Business Cloud account.
  2. Maintains Conversation Context: Utilizes a "Simple Memory" component to remember previous interactions within the conversation, allowing for more natural and continuous dialogue.
  3. Processes Messages with an AI Agent: Feeds the incoming WhatsApp message and the conversation history into an "AI Agent". This agent, powered by a "Google Gemini Chat Model", determines the best course of action based on the user's input.
  4. Leverages Tools (Placeholder): Includes an "AI Agent Tool" node, which is a placeholder for integrating various functionalities. While the specific tools (like email or calendar) are not explicitly configured in this JSON, this node signifies the agent's capability to use external services to fulfill user requests.
  5. Responds via WhatsApp: Sends the AI agent's generated response back to the user on WhatsApp.

Prerequisites/Requirements

To use this workflow, you will need:

  • n8n Instance: A running n8n instance.
  • WhatsApp Business Cloud Account: Configured with an API key and phone number.
  • Google Gemini API Key: For the "Google Gemini Chat Model" to function.
  • n8n Langchain Nodes: Ensure the @n8n/n8n-nodes-langchain package is installed in your n8n instance for the AI Agent, Simple Memory, and Google Gemini Chat Model nodes.
  • Credentials for Tools (Optional but Recommended): If you plan to extend the "AI Agent Tool" with email, calendar, or other services, you will need the respective API keys or credentials for those services.

Setup/Usage

  1. Import the Workflow: Download the provided JSON and import it into your n8n instance.
  2. Configure WhatsApp Trigger:
    • Open the "WhatsApp Trigger" node.
    • Select or create a new WhatsApp Business Cloud credential.
    • Ensure the webhook is correctly set up to receive messages.
  3. Configure Google Gemini Chat Model:
    • Open the "Google Gemini Chat Model" node.
    • Select or create a new credential for Google Gemini.
    • Provide your Google Gemini API key.
  4. Configure WhatsApp Business Cloud (Response):
    • Open the "WhatsApp Business Cloud" node.
    • Select the same WhatsApp Business Cloud credential used for the trigger.
    • Ensure it's configured to send messages back to the from number of the incoming message.
  5. Configure AI Agent and Simple Memory: These nodes are generally self-configuring for basic conversational flow, but you might want to adjust parameters like k (number of past messages to remember) in the "Simple Memory" node for longer conversations.
  6. Extend AI Agent Tool (Advanced): The "AI Agent Tool" node is where you would define specific tools for your agent (e.g., a "Google Calendar" tool, a "Gmail" tool). You will need to add and configure these tool nodes and connect them to the "AI Agent Tool" to enable functionalities like scheduling events or sending emails.
  7. Activate the Workflow: Once all credentials are set and configurations are complete, activate the workflow.

Your WhatsApp AI assistant powered by Google Gemini is now ready to interact with users!

🎓 How to transform unstructured email data into structured format with AI agent

This workflow automates the process of extracting structured, usable information from unstructured email messages across multiple platforms. It connects directly to Gmail, Outlook, and IMAP accounts, retrieves incoming emails, and sends their content to an AI-powered parsing agent built on OpenAI GPT models. The AI agent analyzes each email, identifies relevant details, and returns a clean JSON structure containing key fields: From – sender’s email address To – recipient’s email address Subject – email subject line Summary – short AI-generated summary of the email body The extracted information is then automatically inserted into an n8n Data Table, creating a structured database of email metadata and summaries ready for indexing, reporting, or integration with other tools. --- Key Benefits ✅ Full Automation: Eliminates manual reading and data entry from incoming emails. ✅ Multi-Source Integration: Handles data from different email providers seamlessly. ✅ AI-Driven Accuracy: Uses advanced language models to interpret complex or unformatted content. ✅ Structured Storage: Creates a standardized, query-ready dataset from previously unstructured text. ✅ Time Efficiency: Processes emails in real time, improving productivity and response speed. *✅ Scalability: Easily extendable to handle additional sources or extract more data fields. --- How it works This workflow automates the transformation of unstructured email data into a structured, queryable format. It operates through a series of connected steps: Email Triggering: The workflow is initiated by one of three different email triggers (Gmail, Microsoft Outlook, or a generic IMAP account), which constantly monitor for new incoming emails. AI-Powered Parsing & Structuring: When a new email is detected, its raw, unstructured content is passed to a central "Parsing Agent." This agent uses a specified OpenAI language model to intelligently analyze the email text. Data Extraction & Standardization: Following a predefined system prompt, the AI agent extracts key information from the email, such as the sender, recipient, subject, and a generated summary. It then forces the output into a strict JSON structure using a "Structured Output Parser" node, ensuring data consistency. Data Storage: Finally, the clean, structured data (the from, to, subject, and summarize fields) is inserted as a new row into a specified n8n Data Table, creating a searchable and reportable database of email information. --- Set up steps To implement this workflow, follow these configuration steps: Prepare the Data Table: Create a new Data Table within n8n. Define the columns with the following names and string type: From, To, Subject, and Summary. Configure Email Credentials: Set up the credential connections for the email services you wish to use (Gmail OAuth2, Microsoft Outlook OAuth2, and/or IMAP). Ensure the accounts have the necessary permissions to read emails. Configure AI Model Credentials: Set up the OpenAI API credential with a valid API key. The workflow is configured to use the model, but this can be changed in the respective nodes if needed. Connect the Nodes: The workflow canvas is already correctly wired. Visually confirm that the email triggers are connected to the "Parsing Agent," which is connected to the "Insert row" (Data Table) node. Also, ensure the "OpenAI Chat Model" and "Structured Output Parser" are connected to the "Parsing Agent" as its AI model and output parser, respectively. Activate the Workflow: Save the workflow and toggle the "Active" switch to ON. The triggers will begin polling for new emails according to their schedule (e.g., every minute), and the automation will start processing incoming messages. --- Need help customizing?
