Why use this?

This workflow turns any event-related text into a new event on your calendar.

Poster for a concert you want to go to? Snap a photo [with your iPhone] and boom city, it's in your calendar. †

Parent-Teacher conference you can't forget? Forward that email to the webhook. †

Appointment card from the doctor? Snap it in, baby! †

How it works

(Very, very simple)

  1. Data received by webhook.
  2. Ai Agent prompted to parse the text into structured event data.
  3. Create event in NextCloud cal (or Zoho, or GoogleCal).
  4. (Optional, intended use case) Set up the iOS Shortcut (linked in workflow) to turn your iPhone into the trigger for this workflow. Say "Siri, Add Event To Calendar," and she opens the camera, OCRs the text in the photo and sends that to the webhook. Boom city.

Extras

  • Includes multiple calendar nodes. Whether you're using NextCloud, Zoho or Google Cal, you can swap in the node you need.
  • iOS Shortcut linked in workflow. I also set up a Shortcut for the iPhone. The first time you use the Shortcut, you'll need to give it some permissions, and paste in your production webhook URL.
  • Expansion option: Accept images. iPhone has a native OCR feature but this isn't always an option. To make this workflow more versatile, consider building out a second branch to send an image to an Agent to parse the event data from the image directly.
  • Expansion option: Multiple triggers. You could add more triggers to receive event-related text from other sources, like an IMAP node reading your email (pro tip: set up a designated folder and give the IMAP access only to that folder).

† Workflow begins with a webhook which can receive correctly-formatted data from anywhere on the web --- mailhook, webform, iOS Shortcut, etc. Direct data to this webhook from your source of text to use this workflow.

Convert Event Text to Calendar Entries with AI

This n8n workflow leverages AI to parse unstructured event text and automatically create calendar entries. It provides a flexible solution for turning natural language descriptions of events into structured calendar appointments, offering options for Google Calendar and other calendar services via HTTP requests.

What it does

This workflow streamlines the process of adding events to your calendar by:

  1. Receiving Event Data: It starts by listening for incoming event data via a webhook, which could be triggered by various sources (e.g., email, chat messages, forms).
  2. AI-Powered Event Extraction: An AI Agent (powered by an OpenAI Chat Model) processes the raw event text.
  3. Structured Output Parsing: A Structured Output Parser extracts key event details (like title, start time, end time, and description) into a standardized JSON format.
  4. Conditional Calendar Creation:
    • It uses a "Switch" node to determine if the extracted event data is valid and complete.
    • If the event data is valid, it proceeds to create a Google Calendar event.
    • Alternatively, it can create a calendar event in other services via a generic HTTP Request node, providing flexibility for Nextcloud, Zoho, or any other calendar API.
  5. Webhook Response: It responds to the initial webhook call, indicating the success or failure of the calendar entry creation.

Prerequisites/Requirements

To use this workflow, you will need:

  • n8n Instance: A running n8n instance.
  • OpenAI API Key: For the OpenAI Chat Model to process natural language.
  • Google Calendar Account: Configured as a credential in n8n if you wish to use the Google Calendar integration.
  • (Optional) Other Calendar Service API Access: If you plan to use the HTTP Request node for services like Nextcloud, Zoho, or others, you'll need their respective API credentials and endpoints.

Setup/Usage

  1. Import the Workflow: Import the provided JSON into your n8n instance.
  2. Configure Credentials:
    • OpenAI: Set up your OpenAI API key credential for the "OpenAI Chat Model" node.
    • Google Calendar: Set up your Google Calendar OAuth2 or API key credential for the "Google Calendar" node.
  3. Activate the Webhook: The "Webhook" trigger node will generate a unique URL. This URL is where you will send your event text data to initiate the workflow.
  4. Customize Calendar Creation (Optional):
    • Google Calendar: Ensure the "Google Calendar" node is configured with the correct calendar ID.
    • HTTP Request: If using another calendar service, configure the "HTTP Request" node with the appropriate URL, method (e.g., POST), headers, and body containing the event data parsed by the AI. You might need to adjust the data mapping to match the target API's requirements.
  5. Test the Workflow: Send a test request to the Webhook URL with some event text (e.g., {"text": "Meeting with John next Tuesday at 3 PM about the new project."}) to ensure it creates the calendar entry as expected.
  6. Integrate: Connect the webhook to your desired input source (e.g., an email parser, a chat bot, a form submission).
