wflow preview.JPG Let AI classify your incoming emails and draft replies. Use gotoHuman to approve emails before they are sent out. It also lets you manually edit the draft or even ask for a retry.

How it works

  1. The workflow is triggered for each new email which gets passed to an AI classification agent. It assigns the email to one of the categories defined in the prompt (Customer Support, Sales opportunity, Promo, Personal,...). The agent also determines whether a reply is needed and if it is important.
  2. If a reply is needed, we ask the AI Email Writer to draft a response. Even if it is missing context it can help us draft an outline for the response.
  3. The email draft is sent to gotoHuman where the reviewer can manually edit it or ask to regenerate it with the option to even edit the prompt (Retries loop back to the AI Email Writer node) gthreview.JPG gthchat.JPG
  4. Approved email replies are automatically sent from the workflow

How to set up

  1. Most importantly, install the gotoHuman node before importing this template! (Just add the node to a blank canvas before importing)
  2. Set up your credentials for gotoHuman, OpenAI, and Gmail
  3. In gotoHuman, select and create the pre-built review template "Email agent" or import the ID: v81wzxwYoFYvWpmuIBgX
  4. Select this template in the gotoHuman node

Requirements

You need accounts for

  • gotoHuman (human supervision)
  • OpenAI (classification, drafting)
  • Gmail

How to customize

  • Change the predefined categories in the prompt of the AI classification agent
  • Provide the AI Email Writer with more context to create replies. Consider adding tools that allow the agent to fetch more infos about clients, your calendar, FAQs for your product,...

n8n Email Classifier and Responder with GPT-4o and Human Supervision

This n8n workflow automates the classification and initial response to incoming emails using an AI agent (GPT-4o) and integrates a human-in-the-loop (HITL) process for supervision and approval of responses. It aims to streamline email management by handling routine inquiries automatically while ensuring critical or complex cases are reviewed by a human agent.

What it does

This workflow performs the following key steps:

  1. Triggers on new emails: Listens for new incoming emails in a specified Gmail inbox.
  2. Processes email content with AI: Uses an AI Agent powered by an OpenAI Chat Model (likely GPT-4o, given the directory name) to process the email content.
  3. Parses AI output: Employs a Structured Output Parser to extract structured data from the AI agent's response, likely including classification and a draft reply.
  4. Edits and prepares data: Transforms and sets fields for subsequent steps, preparing the data for conditional logic.
  5. Routes based on AI classification: Uses a Switch node to route the workflow based on the AI's classification or confidence level. This allows for different paths, such as direct replies or human review.
  6. Sends replies (conditional): If the AI's classification allows for an automated response, it sends a reply via Gmail.
  7. Human-in-the-Loop (HITL) for supervision: For cases requiring human review, the workflow is designed to pause or notify a human agent (indicated by the "Gmail" node with "HITL" category and the directory name hint). The "No Operation, do nothing" node might represent a placeholder for further human action or a termination point if no action is needed after review.

Prerequisites/Requirements

To use this workflow, you will need:

  • n8n Instance: A running n8n instance.
  • Gmail Account: A Gmail account configured as a credential in n8n for both triggering on new emails and sending replies.
  • OpenAI API Key: An OpenAI API key (or similar credential for the AI Agent) with access to models like GPT-4o. This will be configured within the "OpenAI Chat Model" node.
  • LangChain Nodes: Ensure the @n8n/n8n-nodes-langchain package is installed in your n8n instance, as it provides the AI Agent, OpenAI Chat Model, and Structured Output Parser nodes.

Setup/Usage

  1. Import the workflow: Download the JSON provided and import it into your n8n instance.
  2. Configure Credentials:
    • Gmail Trigger & Gmail Node: Set up your Google OAuth2 credentials for Gmail.
    • OpenAI Chat Model: Configure your OpenAI API key credential.
  3. Activate the workflow: Once credentials are set and the workflow is configured, activate it.
  4. Customize AI Agent: Adjust the prompt and instructions for the "AI Agent" node to accurately classify your emails and generate appropriate replies based on your specific use cases.
  5. Define Switch Logic: Configure the "Switch" node to define the conditions under which emails are automatically replied to versus those requiring human supervision. This will depend on the output structure from your "Structured Output Parser."
  6. Human Supervision Integration: If the workflow is intended to integrate with a human supervision system (e.g., GoToHuman as hinted by the directory name), you will need to expand the path after the "Switch" node to include the specific actions for that integration (e.g., sending a task to a human agent, updating a dashboard, etc.). The current "No Operation, do nothing" node is a placeholder for such actions.

πŸŽ“ How to transform unstructured email data into structured format with AI agent

This workflow automates the process of extracting structured, usable information from unstructured email messages across multiple platforms. It connects directly to Gmail, Outlook, and IMAP accounts, retrieves incoming emails, and sends their content to an AI-powered parsing agent built on OpenAI GPT models. The AI agent analyzes each email, identifies relevant details, and returns a clean JSON structure containing key fields: From – sender’s email address To – recipient’s email address Subject – email subject line Summary – short AI-generated summary of the email body The extracted information is then automatically inserted into an n8n Data Table, creating a structured database of email metadata and summaries ready for indexing, reporting, or integration with other tools. --- Key Benefits βœ… Full Automation: Eliminates manual reading and data entry from incoming emails. βœ… Multi-Source Integration: Handles data from different email providers seamlessly. βœ… AI-Driven Accuracy: Uses advanced language models to interpret complex or unformatted content. βœ… Structured Storage: Creates a standardized, query-ready dataset from previously unstructured text. βœ… Time Efficiency: Processes emails in real time, improving productivity and response speed. *βœ… Scalability: Easily extendable to handle additional sources or extract more data fields. --- How it works This workflow automates the transformation of unstructured email data into a structured, queryable format. It operates through a series of connected steps: Email Triggering: The workflow is initiated by one of three different email triggers (Gmail, Microsoft Outlook, or a generic IMAP account), which constantly monitor for new incoming emails. AI-Powered Parsing & Structuring: When a new email is detected, its raw, unstructured content is passed to a central "Parsing Agent." This agent uses a specified OpenAI language model to intelligently analyze the email text. Data Extraction & Standardization: Following a predefined system prompt, the AI agent extracts key information from the email, such as the sender, recipient, subject, and a generated summary. It then forces the output into a strict JSON structure using a "Structured Output Parser" node, ensuring data consistency. Data Storage: Finally, the clean, structured data (the from, to, subject, and summarize fields) is inserted as a new row into a specified n8n Data Table, creating a searchable and reportable database of email information. --- Set up steps To implement this workflow, follow these configuration steps: Prepare the Data Table: Create a new Data Table within n8n. Define the columns with the following names and string type: From, To, Subject, and Summary. Configure Email Credentials: Set up the credential connections for the email services you wish to use (Gmail OAuth2, Microsoft Outlook OAuth2, and/or IMAP). Ensure the accounts have the necessary permissions to read emails. Configure AI Model Credentials: Set up the OpenAI API credential with a valid API key. The workflow is configured to use the model, but this can be changed in the respective nodes if needed. Connect the Nodes: The workflow canvas is already correctly wired. Visually confirm that the email triggers are connected to the "Parsing Agent," which is connected to the "Insert row" (Data Table) node. Also, ensure the "OpenAI Chat Model" and "Structured Output Parser" are connected to the "Parsing Agent" as its AI model and output parser, respectively. Activate the Workflow: Save the workflow and toggle the "Active" switch to ON. The triggers will begin polling for new emails according to their schedule (e.g., every minute), and the automation will start processing incoming messages. --- Need help customizing?
