Validate API requests with Bearer Token Authentication and Airtable
Bearer Token Validation
This n8n template helps you manage and validate tokens easily using:
- n8n as your backend workflow engine
- Airtable as your lightweight token store
π What It Does
- Stores user tokens securely in Airtable with expiry or usage metadata.
- Validates incoming tokens in your workflows (e.g., webhook APIs).
- Rejects invalid or expired tokens automatically for security.
- Can be extended to generate, rotate, or revoke tokens for user management.
How It Works
- Webhook node receives requests with a
Bearerheader. - Airtable Query looks up the provided token.
- Validation Logic (Code node):
- Checks if the token exists.
- Verifies expiry or usage limits if configured.
- Returns success if valid, or error if error with describing the issue.
- Note: This is the simplest way to do auth, just for simplification
Why Use This
- No need for a full backend to manage secure token validation.
- Clean, modular, and ready for your SaaS workflows.

Validate API Requests with Bearer Token Authentication and Airtable
This n8n workflow provides a robust solution for validating incoming API requests, specifically focusing on bearer token authentication. It leverages Airtable as a secure backend to store and manage authorized API keys, ensuring that only requests with valid tokens are processed.
What it does
This workflow automates the following steps:
- Listens for API Requests: It acts as an API endpoint, waiting for incoming HTTP requests.
- Extracts Bearer Token: Upon receiving a request, it extracts the
Authorizationheader to retrieve the bearer token. - Validates Token against Airtable: It queries an Airtable base to check if the extracted bearer token exists and is marked as valid.
- Conditional Processing:
- If Valid: If the token is found and valid, the workflow proceeds to process the request (e.g., performing further actions, returning a success response).
- If Invalid: If the token is not found or is invalid, the workflow immediately responds with an unauthorized error.
- Responds to Request: It sends an appropriate HTTP response back to the client, indicating success or failure of the authentication.
Prerequisites/Requirements
To use this workflow, you will need:
- n8n Instance: A running n8n instance (cloud or self-hosted).
- Airtable Account: An Airtable account with a base and a table configured to store API keys.
- The table should include a field for the bearer token (e.g.,
API Key) and a field to indicate its validity (e.g.,Is Active, a checkbox or boolean field).
- The table should include a field for the bearer token (e.g.,
- Airtable Credentials: An Airtable API key for n8n to connect to your Airtable base.
Setup/Usage
-
Import the Workflow:
- Download the provided JSON file.
- In your n8n instance, click on "Workflows" in the left sidebar.
- Click "New" and then "Import from JSON".
- Paste the JSON content or upload the file.
-
Configure Credentials:
- Airtable Node:
- Click on the "Airtable" node.
- Under "Credentials", select an existing Airtable credential or create a new one. You will need your Airtable API key.
- Configure the "Base ID" and "Table Name" to match your Airtable setup where API keys are stored.
- Ensure the "View" is set correctly if you have specific views.
- Verify the "Filter By Formula" to match your token field (e.g.,
{API Key} = "{{ $json.token }}") and the validity field (e.g.,AND({API Key} = "{{ $json.token }}", {Is Active} = TRUE())).
- Airtable Node:
-
Configure Webhook Trigger:
- Click on the "Webhook" node.
- Note the "Webhook URL". This is the endpoint your API requests will be sent to.
- Set the "HTTP Method" to the expected method for your API requests (e.g.,
POST,GET).
-
Configure Code Node (Token Extraction):
- Click on the "Code" node.
- This node extracts the bearer token from the
Authorizationheader. Ensure the code correctly parses your expected header format. The default assumes aBearer <token>format.
-
Configure If Node (Validation Logic):
- Click on the "If" node.
- The condition should check if the Airtable query returned any valid items. For example,
{{ $json.length > 0 }}if the Airtable node outputs an array of matching records.
-
Configure Respond to Webhook Nodes:
- Success Path:
- Configure the "Respond to Webhook" node on the
TRUEbranch to return a200 OKstatus and any relevant success data.
- Configure the "Respond to Webhook" node on the
- Failure Path:
- Configure the "Respond to Webhook" node on the
FALSEbranch to return a401 Unauthorizedstatus and an appropriate error message.
- Configure the "Respond to Webhook" node on the
- Success Path:
-
Activate the Workflow:
- Once configured, make sure to activate the workflow by toggling the "Active" switch in the top right corner of the n8n editor.
Now, any API requests sent to the Webhook URL with a valid bearer token in the Authorization header will pass through, while invalid ones will be rejected.

Two-way property repair management system with Google Sheets & Drive
This workflow automates the repair request process between tenants and building managers, keeping all updates organized in a single spreadsheet. It is composed of two coordinated workflows, as two separate triggers are required β one for new repair submissions and another for repair updates. A Unique Unit ID that corresponds to individual units is attributed to each request, and timestamps are used to coordinate repair updates with specific requests. General use cases include: Property managers who manage multiple buildings or units. Building owners looking to centralize tenant repair communication. Automation builders who want to learn multi-trigger workflow design in n8n. --- βοΈ How It Works Workflow 1 β New Repair Requests Behind the Scenes: A tenant fills out a Google Form (βRepair Request Formβ), which automatically adds a new row to a linked Google Sheet. Steps: Trigger: Google Sheets rowAdded β runs when a new form entry appears. Extract & Format: Collects all relevant form data (address, unit, urgency, contacts). Generate Unit ID: Creates a standardized identifier (e.g., BUILDING-UNIT) for tracking. Email Notification: Sends the building manager a formatted email summarizing the repair details and including a link to a Repair Update Form (which activates Workflow 2). --- Workflow 2 β Repair Updates Behind the Scenes:\ Triggered when the building manager submits a follow-up form (βRepair Update Formβ). Steps: Lookup by UUID: Uses the Unit ID from Workflow 1 to find the existing row in the Google Sheet. Conditional Logic: If photos are uploaded: Saves each image to a Google Drive folder, renames files consistently, and adds URLs to the sheet. If no photos: Skips the upload step and processes textual updates only. Merge & Update: Combines new data with existing repair info in the same spreadsheet row β enabling a full repair history in one place. --- 𧩠Requirements Google Account (for Forms, Sheets, and Drive) Gmail/email node connected for sending notifications n8n credentials configured for Google API access --- β‘ Setup Instructions (see more detail in workflow) Import both workflows into n8n, then copy one into a second workflow. Change manual trigger in workflow 2 to a n8n Form node. Connect Google credentials to all nodes. Update spreadsheet and folder IDs in the corresponding nodes. Customize email text, sender name, and form links for your organization. Test each workflow with a sample repair request and a repair update submission. --- π οΈ Customization Ideas Add Slack or Telegram notifications for urgent repairs. Auto-create folders per building or unit for photo uploads. Generate monthly repair summaries using Google Sheets triggers. Add an AI node to create summaries/extract relevant repair data from repair request that include long submissions.
