πŸ›‘οΈ Note

Failure to correctly configure Azure permissions will prevent the template from functioning. Ensure admin approval is fully completed during setup.

Important Prerequisites

⚠️ Administrator consent is required

This template requires a Microsoft 365 Global Administrator or Application Administrator to grant admin consent to a set of Microsoft Graph and SharePoint API scopes.

Basic Azure App Registration knowledge is required:

You need to set up an Azure App Registration manually, configure OAuth2 authentication, and assign specific API permissions.

A setup guide is included, but familiarity with:

  • App registrations
  • API permissions
  • Client secrets
  • OAuth2 flows

is highly recommended.

Knowledge of Postgres is required The template includes a SQL script to create the required Postgres table (see blog post).

You are responsible for hosting your own database (You can use Supabase with the Postgres connection string).

n8n Workflow: Meeting Analysis with AI, Outlook, and Postgres

This n8n workflow automates the process of analyzing meeting data, enriching it with AI, and storing it in a PostgreSQL database. It can be triggered manually via a form or on a schedule, fetching meeting details from Microsoft Outlook, processing them with an AI agent, and then saving the insights.

What it does

This workflow performs the following key steps:

  1. Triggers:
    • Manually via Form: Allows for an ad-hoc trigger to process meeting data.
    • On Schedule: Can be configured to run at regular intervals (e.g., daily, weekly) to fetch new meeting data.
  2. Fetches Outlook Meetings: Retrieves meeting details from a specified Microsoft Outlook account.
  3. Filters Meetings: Filters the retrieved meetings based on specific criteria (e.g., to include only relevant meetings for analysis).
  4. Processes Meeting Data with AI:
    • Extracts HTML Content: Converts meeting body content from HTML to plain text.
    • Prepares Data for AI: Sets up the meeting data in a format suitable for the AI agent.
    • Analyzes with AI Agent: Uses an OpenAI Chat Model to process the meeting content, potentially summarizing, extracting key points, or performing sentiment analysis.
  5. Stores Data in PostgreSQL: Saves the original meeting data and the AI-generated insights into a PostgreSQL database.
  6. Handles Duplicates: Ensures that only unique meeting entries are processed and stored.
  7. Responds to Webhook: If triggered by a webhook, it sends a response back.

Prerequisites/Requirements

To use this workflow, you will need:

  • n8n Instance: A running n8n instance.
  • Microsoft Outlook Account: Configured as a credential in n8n to access meeting data.
  • OpenAI API Key: Configured as a credential in n8n for the AI Agent (specifically the OpenAI Chat Model).
  • PostgreSQL Database: Access to a PostgreSQL database, configured as a credential in n8n, where the analyzed meeting data will be stored.

Setup/Usage

  1. Import the workflow: Download the JSON provided and import it into your n8n instance.
  2. Configure Credentials:
    • Microsoft Outlook: Set up your Microsoft Outlook credentials to allow n8n to fetch meeting data.
    • OpenAI: Provide your OpenAI API key for the AI Agent node.
    • PostgreSQL: Configure your PostgreSQL database credentials (host, port, database name, user, password).
  3. Customize Nodes (Optional but Recommended):
    • Schedule Trigger (Node 839): Adjust the schedule to your desired frequency (e.g., daily, weekly).
    • Microsoft Outlook (Node 433): Configure the specific calendar, date range, or other filters for fetching meetings.
    • Filter (Node 844): Refine the conditions to filter meetings based on your specific needs (e.g., meeting title keywords, attendees).
    • AI Agent (Node 1119): Customize the prompt or instructions for the AI agent to perform the desired analysis (e.g., "Summarize the meeting notes," "Extract action items," "Identify decisions made").
    • Postgres (Node 30): Ensure the Insert operation is configured correctly with your table name and the mapping of workflow data to database columns.
  4. Activate the workflow: Once configured, activate the workflow.
    • For scheduled runs, it will execute automatically.
    • For manual runs, use the "Execute Workflow" button or trigger the associated form/webhook.
