Assistant for Hubspot chat using OpenAi and Airtable

This workflow will allow you to use OpenAI Assistant API together with a chatting platform. This version is configured to work with Hubspot, however, the Hubspot modules can be replaced by other platform and it will work similarly.

Prerequisites:

  • Create a Hubspot Chat (Live chat available on free plan) or Chatflow (paid hubspot only) and configure it to send all replies toward an n8n webhook (you need to create a custom app for that. I will create a separate article on how to do it, meanwhile, feel free to message me if you need support.

Setup:

  • Create a OpenAI Assistant, define its functionality and functions
  • Update the Hubspot modules with the Hubspot API Key
  • Update the OpenAI modules with OpenAI API Key
  • Create an Airtable or any other database where you keep a reference between the thread id in Hubspot and Assistant API

n8n Workflow: OpenAI Assistant for HubSpot Chat using Airtable

This n8n workflow acts as an intelligent assistant for HubSpot chat, leveraging OpenAI for generating responses and Airtable for managing conversation context or knowledge base. It allows you to automate responses to incoming chat messages, making your customer support more efficient and consistent.

What it does

This workflow automates the following steps:

  1. Receives Incoming Chat Messages: It starts by listening for incoming chat messages via a webhook, likely connected to HubSpot's chat system.
  2. Processes Chat Content: It takes the received chat message and processes it.
  3. Retrieves Context from Airtable: It interacts with Airtable, presumably to fetch relevant information or conversation history that can inform the OpenAI response.
  4. Generates AI Response: It sends the chat message and retrieved Airtable context to OpenAI to generate a natural language response.
  5. Sends Response: The generated AI response is then sent back, likely to the HubSpot chat, using an HTTP Request.
  6. Conditional Logic: The workflow includes conditional logic (If and Switch nodes) which might be used to:
    • Filter messages based on content or origin.
    • Route messages to different AI models or Airtable bases.
    • Handle different types of chat interactions.
  7. Delay/Wait: A Wait node is included, which could be used to introduce a delay between processing steps, perhaps to simulate human response times or to manage API rate limits.
  8. Code Execution: A Code node is present, suggesting custom JavaScript logic is used for data manipulation, formatting, or more complex conditional checks within the workflow.

Prerequisites/Requirements

To use this workflow, you will need:

  • n8n Instance: A running n8n instance to import and execute the workflow.
  • HubSpot Account: Access to HubSpot with the ability to configure webhooks for chat events.
  • OpenAI API Key: An API key for OpenAI to access its language models.
  • Airtable Account: An Airtable account with a configured base and table(s) for storing conversation context or knowledge.
  • Credentials: Appropriate credentials configured in n8n for OpenAI and Airtable.

Setup/Usage

  1. Import the Workflow: Download the provided JSON and import it into your n8n instance.
  2. Configure Webhook:
    • Locate the "Webhook" node.
    • Copy the webhook URL.
    • In your HubSpot account, configure a webhook to send chat messages to this URL.
  3. Configure Credentials:
    • Airtable: Set up your Airtable credentials in n8n. In the "Airtable" node, select your credential and configure the Base ID and Table Name to match your Airtable setup.
    • OpenAI: Set up your OpenAI API key as a credential in n8n. In the "OpenAI" node, select your OpenAI credential.
  4. Review and Customize Nodes:
    • Code Node: Examine the "Code" node to understand and potentially adjust any custom logic.
    • If/Switch Nodes: Review the conditions in the "If" and "Switch" nodes to ensure they align with your desired routing logic.
    • HTTP Request: Verify the "HTTP Request" node is correctly configured to send responses back to HubSpot or your desired chat platform.
  5. Activate the Workflow: Once all configurations are complete, activate the workflow in n8n.

Synchronize WooCommerce Inventory & Create Products with Gemini AI & BrowserAct This sophisticated n8n template automates WooCommerce inventory management by scraping supplier data, updating existing products, and intelligently creating new ones with AI-formatted descriptions. This workflow is essential for e-commerce operators, dropshippers, and inventory managers who need to ensure their product pricing and stock levels are synchronized with multiple third-party suppliers, minimizing overselling and maximizing profit. --- Self-Hosted Only This Workflow uses a community contribution and is designed and tested for self-hosted n8n instances only. --- How it works The workflow is typically run by a Schedule Trigger (though a Manual Trigger is also shown) to check stock automatically. It reads a list of suppliers and their inventory page URLs from a central Google Sheet. The workflow loops through each supplier: A BrowserAct node scrapes the current stock and price data from the supplier's inventory page. A Code node parses this bulk data into individual product items. It then loops through each individual product found. The workflow checks WooCommerce to see if the product already exists based on its name. If the product exists: It proceeds to update the existing product's price and stock quantity. If the product DOES NOT exist: An If node checks if the missing product's category matches a predefined type (optional filtering).
