This n8n workflow automates the process of sending personalized congratulatory SMS messages based on data in a Google Sheet. It's designed to run on a schedule, check for new entries, and send messages to recipients who meet specific criteria.
What it does
This workflow streamlines the sending of congratulatory messages by:
- Scheduling: Triggers daily at a specific time (e.g., 9:00 AM).
- Preparing Current Date: Generates today's date in a specific format (YYYY-MM-DD) for comparison.
- Reading Google Sheet Data: Fetches all rows from a specified Google Sheet.
- Filtering Data: Compares a date column in the Google Sheet with today's date. Only rows where the date matches are passed on.
- Sending SMS: For each matching row, it constructs a personalized congratulatory message using data from the row (e.g., name, achievement) and sends it via Twilio to the recipient's phone number.
- No Operation (Fallback): If no matching entries are found, the workflow proceeds without sending any messages.
Prerequisites/Requirements
To use this workflow, you will need:
- n8n Instance: A running n8n instance.
- Google Sheets Account: A Google account with access to Google Sheets.
- A Google Sheet containing your congratulatory data. This sheet should have columns for the date of the event, the recipient's name, their phone number, and the specific achievement or reason for congratulations.
- Twilio Account: A Twilio account with an active phone number capable of sending SMS messages.
- Twilio Account SID and Auth Token for authentication.
Setup/Usage
- Import the Workflow:
- Download the provided JSON file for this workflow.
- In your n8n instance, go to "Workflows" and click "New".
- Click the "Import from JSON" button and paste the workflow JSON or upload the file.
- Configure Credentials:
- Google Sheets Node:
- Click on the "Google Sheets" node.
- Under "Credentials", select an existing Google Sheets OAuth2 credential or click "Create New" to set one up. You'll need to grant n8n access to your Google Sheets.
- Specify the "Spreadsheet ID" and "Sheet Name" where your congratulatory data is stored.
- Ensure the "Operation" is set to "Get All".
- Twilio Node:
- Click on the "Twilio" node.
- Under "Credentials", select an existing Twilio API credential or click "Create New" to set one up. You'll need your Twilio Account SID and Auth Token.
- Set the "From" phone number to your Twilio phone number (e.g.,
+1234567890). - Set the "To" phone number using an expression to dynamically pull the recipient's number from the Google Sheets data (e.g.,
{{ $json.phoneNumber }}). AdjustphoneNumberto match your column name. - Craft your "Body" message using expressions to personalize it with data from the Google Sheet (e.g.,
Congratulations {{ $json.name }} on your {{ $json.achievement }}!). Adjustnameandachievementto match your column names.
- Google Sheets Node:
- Configure the Cron Trigger:
- Click on the "Cron" node.
- Adjust the "Mode" and "Value" to set your desired schedule for the workflow to run (e.g., "Every Day" at "09:00").
- Configure the Function Node:
- Click on the "Function" node.
- Review the JavaScript code. It should be creating a
todayvariable with the current date inYYYY-MM-DDformat. This is used for comparison.
- Configure the If Node:
- Click on the "If" node.
- Ensure the condition correctly compares the date from your Google Sheet with the
todayvariable from the Function node.- Example:

- Once all credentials and nodes are configured, save the workflow and activate it by toggling the "Active" switch in the top right corner of the n8n editor.
