This n8n workflow automates the process of qualifying B2B leads, generating personalized outreach emails using AI, and managing the outreach status in Google Sheets. It's designed to streamline lead qualification and initial contact, saving time and ensuring consistent communication.

What it does

This workflow performs the following steps:

  1. Triggers on New Google Sheet Rows: It continuously monitors a specified Google Sheet for new rows, indicating new leads to process.
  2. Retrieves Lead Data: For each new row, it extracts lead information such as company name, website, and contact details.
  3. Enriches Lead Data via Apollo: It uses an HTTP Request node to query the Apollo.io API to find additional information about the company, such as industry, employee count, and more.
  4. Qualifies Leads with AI: It leverages a Groq AI Chat Model to analyze the lead data and Apollo.io enrichment to determine if the lead is a good fit based on predefined criteria (e.g., industry, company size, etc.).
  5. Generates Personalized Email Drafts: If the lead is qualified, the Groq AI Chat Model then generates a personalized outreach email draft tailored to the lead's company and relevant pain points.
  6. Parses AI Output: A Structured Output Parser extracts the key components of the AI-generated email (e.g., subject, body) into a structured format.
  7. Sends Personalized Emails (Drafts): It uses Gmail to send the AI-generated email drafts to the qualified leads.
  8. Updates Google Sheet Status: Finally, it updates the original Google Sheet with the qualification status and the date the email was sent, providing a clear overview of the outreach progress.

Prerequisites/Requirements

To use this workflow, you will need:

  • n8n Instance: A running n8n instance.
  • Google Sheets Account: With a spreadsheet containing your B2B leads.
  • Google Account (for Gmail): To send outreach emails.
  • Apollo.io Account: To enrich lead data via their API.

Setup/Usage

  1. Import the Workflow: Import the provided JSON into your n8n instance.
  2. Configure Credentials:
    • Google Sheets Trigger: Set up your Google Sheets credentials and specify the spreadsheet and sheet name to monitor for new leads.
    • HTTP Request (Apollo.io): Configure an HTTP Request node with your Apollo.io API key and the necessary API endpoint for company enrichment.
    • Groq Chat Model: Add your Groq API key to the Groq Chat Model node.
    • Google Sheets (Update): Ensure your Google Sheets credentials are set up for updating the sheet.
  3. Customize AI Agent and Prompts:

It uses a human-in-the-loop with gotoHuman and continuously improves itself by learning from approved examples. How it works The workflow triggers on every new email from your linked mailbox. Self-learning Email Classifier: an AI model categorizes the email into defined categories (e.g., Bug Report, Feature Request, Sales Opportunity, etc.). It fetches previously approved classification examples from gotoHuman to refine decisions. Self-learning Email Writer: the AI drafts a reply to the email. It learns over time by using previously approved replies from gotoHuman, with per-classification context to tailor tone and style (e.g., different style for sales vs. bug reports). Human Review in gotoHuman: review the classification and the drafted reply. Drafts can be edited or retried. Approved values are used to train the self-learning agents.
