Built this workflow because most of our users signed up, then vanished after ~30 days. It runs daily, grabs those stale users from Supabase, updates a Google Sheet for tracking, and automatically sends each one a personalized HTML email through Gmail to bring them back.

All fully automated — so once it’s set up, it quietly does its job in the background. Currently, it only supports Supabase, but the concept should work with any DB or API if you swap out the request node.

This n8n workflow automates the process of identifying stale users from a Google Sheet, generating personalized re-engagement emails using an AI agent, and sending those emails via Gmail. It's designed to help businesses reactivate inactive users efficiently.

What it does

This workflow performs the following steps:

  1. Triggers Manually or on Schedule: The workflow can be executed manually or set to run on a defined schedule (e.g., daily, weekly).
  2. Reads User Data from Google Sheets: It fetches user data from a specified Google Sheet, likely containing user information and last activity timestamps.
  3. Filters and Processes Data (Code Node): A Code node is used to process the incoming data. While the exact logic isn't explicit in the JSON, it's highly probable this node filters for "stale" users based on criteria like last_active date, and prepares the data for AI processing.
  4. Removes Duplicates: Ensures that only unique user records are processed, preventing redundant re-engagement efforts.
  5. Generates Re-engagement Emails with AI: An AI Agent (likely using a Google Vertex Chat Model) is employed to craft personalized re-engagement emails for each stale user. This step leverages the power of AI to create compelling and relevant messages.
  6. Parses AI Output: A Structured Output Parser extracts the generated email content (subject and body) in a structured format from the AI agent's response.
  7. Prepares Email Fields (Edit Fields): A Set node is used to map and prepare the extracted email subject and body, along with the recipient's email address, into the correct format for the Gmail node.
  8. Sends Personalized Emails via Gmail: Finally, the workflow sends the AI-generated, personalized re-engagement emails to the identified stale users using Gmail.

Prerequisites/Requirements

To use this workflow, you will need:

  • n8n Instance: A running instance of n8n.
  • Google Sheets Account: With a spreadsheet containing your user data (including email addresses and a field to determine "staleness").
  • Google Account Credentials: Configured in n8n for both Google Sheets and Gmail.
  • Google Vertex AI Access: Configured in n8n for the Google Vertex Chat Model.
  • AI Agent Configuration: The AI Agent node will require specific instructions or a prompt to generate the re-engagement emails effectively.

Setup/Usage

  1. Import the Workflow: Import the provided JSON into your n8n instance.
  2. Configure Credentials:
    • Set up your Google Sheets credentials (OAuth 2.0 recommended) for the "Google Sheets" node.
    • Set up your Gmail credentials (OAuth 2.0 recommended) for the "Gmail" node.
    • Configure your Google Vertex Chat Model credentials for the "Google Vertex Chat Model" node.
  3. Update Google Sheets Node:
    • Specify the Spreadsheet ID and Sheet Name where your user data is located.
  4. Customize Code Node (if necessary):
    • Review the "Code" node's JavaScript to ensure the logic for identifying stale users and preparing data aligns with your specific criteria.
  5. Configure AI Agent:
    • Adjust the prompt and settings within the "AI Agent" node to guide the AI in generating the desired re-engagement email content.
  6. Review Structured Output Parser:
    • Ensure the "Structured Output Parser" is correctly configured to extract the subject and body from the AI agent's output.
  7. Adjust Edit Fields Node:
    • Verify that the "Edit Fields" (Set) node correctly maps the extracted email subject, body, and recipient email to the appropriate fields for the Gmail node.
  8. Activate and Test:
    • Run the workflow manually to test its functionality and ensure emails are sent as expected.
    • Once satisfied, enable the "Schedule Trigger" node to automate the re-engagement process.

This workflow automatically classifies every new email from your linked mailbox, drafts a personalized reply, and creates Linear tickets for bugs or feature requests. It uses a human-in-the-loop with gotoHuman and continuously improves itself by learning from approved examples. How it works The workflow triggers on every new email from your linked mailbox. Self-learning Email Classifier: an AI model categorizes the email into defined categories (e.g., Bug Report, Feature Request, Sales Opportunity, etc.). It fetches previously approved classification examples from gotoHuman to refine decisions. Self-learning Email Writer: the AI drafts a reply to the email. It learns over time by using previously approved replies from gotoHuman, with per-classification context to tailor tone and style (e.g., different style for sales vs. bug reports).
