This n8n workflow automates the process of analyzing contract documents stored in Google Drive for potential risks using OpenAI, then logs the analysis results to a Google Sheet and sends a summary email via Gmail.
What it does
This workflow streamlines contract risk assessment by:
- Triggering on New Files: It listens for new files added to a specified folder in Google Drive.
- Downloading the Document: When a new file is detected, it downloads the document from Google Drive.
- Extracting Text: It uses a Code node to extract the text content from the downloaded document.
- Analyzing with OpenAI: The extracted text is sent to OpenAI with a prompt to analyze the contract for risks.
- Conditional Processing: It checks if the OpenAI analysis successfully returned risk information.
- Logging to Google Sheets (on success): If risks are identified, the contract name, a summary of risks, and the full OpenAI response are appended as a new row to a Google Sheet.
- Sending Email Notification (on success): An email is sent via Gmail containing the contract name, a summary of risks, and a link to the Google Sheet entry.
- Logging to Google Sheets (on failure): If the OpenAI analysis fails or no risks are identified, the contract name and a note about the failure are logged to the Google Sheet.
Prerequisites/Requirements
To use this workflow, you will need:
- n8n Instance: A running n8n instance.
- Google Drive Account: Configured with credentials in n8n to access the folder where contract documents are uploaded.
- OpenAI API Key: Configured as a credential in n8n.
- Gmail Account: Configured with credentials in n8n to send email notifications.
- Google Sheets Account: Configured with credentials in n8n to log analysis results. You will need to create a Google Sheet with appropriate columns (e.g., "Contract Name", "Risk Summary", "Full OpenAI Response", "Status").
Setup/Usage

Import the Workflow:
- Download the provided JSON file.
- In your n8n instance, click "Workflows" in the left sidebar.
- Click "New" and then "Import from JSON".
- Paste the JSON content or upload the file.

Configure Credentials:
- Locate the "Google Drive Trigger", "Google Drive", "OpenAI", "Google Sheets", and "Gmail" nodes.
- For each of these nodes, click on the "Credential" field and select your existing Google and OpenAI credentials, or create new ones if you haven't already. Ensure your Google credentials have access to Google Drive, Google Sheets, and Gmail.

Configure Google Drive Trigger:
- In the "Google Drive Trigger" node, specify the "Folder ID" where your contract documents will be uploaded.

Configure Google Sheets Nodes:
- In both "Google Sheets" nodes, specify the "Spreadsheet ID" and "Sheet Name" where you want to log the contract analysis results. Ensure the sheet has columns for "Contract Name", "Risk Summary", "Full OpenAI Response", and "Status".

Configure OpenAI Node:
- Review the prompt in the "OpenAI" node to ensure it aligns with how you want to analyze contract risks. Adjust if necessary.

Configure Gmail Node:
- In the "Gmail" node, set the "To" email address for notifications and customize the "Subject" and "Body" of the email as needed.

Activate the Workflow:
- Once all credentials and settings are configured, click the "Activate" toggle in the top right corner of the n8n editor to start the workflow.
Now, whenever a new contract document is uploaded to the specified Google Drive folder, the workflow will automatically analyze it, log the results, and send an email notification.
